Your item database

Keep your game's items with rarity, value and stats, import them from a spreadsheet, and set who can claim rare loot.

The item database is your guild's list of the items that matter in your game, each with a category, rarity, value and stats. Once it's filled in, loot hauls fill themselves in, Discord can look items up, and add-ons like Fleet, Soft Reserves and Crafters have something to work from.

Open it from Loot with the Item database button. It's there for every game that has loot (all except Foundation: Galactic Frontier).

Who can do what

Everyone in the guild can browse and search the database. Owners, admins and moderators add, edit, import and delete items, and set the claim rules.

What an item holds

Field Details
Name 1 to 120 characters, unique in your database
Category One of your game's loot categories
Rarity Common, Uncommon, Rare, Epic or Legendary (Common if you don't pick)
Value A whole number in your game's currency, or left blank for unknown
Description Optional, up to 1,000 characters
Image Optional: from your media library or an https link
Stats Up to 20, each a name (up to 40 characters) and a value (up to 100), like "Size: 3" or "DPS: 54.2"

The database holds up to 5,000 items. You'll see how many you've used at the bottom of the list.

Starter items

Most games give your database a set of starter items the first time it's opened: common items with names and facts like size and maker, but no prices or pictures. Edit or delete them as you like.

If you delete some and want them back, click Restore starter items. It only adds back the ones you're missing; items you've edited stay as they are.

Add items

  • One at a time: click Add item, fill in the form, and click Add item.
  • From the marketplace: the Game packs tab in the Marketplace has item sets for some games. Installing one adds its items and skips any you already have by name. See the marketplace.
  • From a spreadsheet: see the next section.

Import and export CSV

Click Export CSV to download everything as item-database.csv. It's a great backup and the easiest way to make big changes: export, edit in a spreadsheet, and import it back.

To import:

  1. Save your spreadsheet as CSV. The first row names the columns.
  2. Click Import CSV and pick the file.
  3. Check the preview. Rows with problems are listed and skipped.
  4. Click the Import button, which shows how many items are ready.

The columns:

Column What goes in it
name Required
category One of your game's categories (if blank, Other or your game's first category)
rarity common, uncommon, rare, epic or legendary (blank is common)
value A number. "47,250", "47 250" and "47250 ISK" all work
description Text
image An https link
anything else Becomes a stat named after the column, like Size or DPS

Items whose name you already have are updated, not duplicated. The dialog shows how many were new and how many were updated. Big files go up in batches of 1,000 items.

Claim rules by rarity

At the bottom of the database page, Claim rules let you limit who can claim rare loot. For each rarity from Uncommon up, pick Anyone or a rank "and above". A rule covers that rarity and every rarer one, so setting Rare to "Raider and above" also covers Epic and Legendary unless you set a higher rank for those.

Click Save rules. They apply in the dashboard and in Discord. Owners, admins and moderators can always claim. Members see the rules on this page and a lock on items they can't claim. Ranks are your in-game ranks; see roles and ranks.

Where your items show up

  • Loot hauls: type a name when logging a haul and pick it to fill in category, rarity and value. See loot hauls.
  • Discord: anyone with View in your connected server (see Discord commands) can use /item to look an item up. The answer only shows to them, with a Share in channel button. It shows the rarity, value and stats, and who crafts it if you have Crafters.
  • Website: the Items block shows a showcase or a price list, filtered by category or rarity. See page blocks.
  • Add-ons: Fleet hangars, Soft Reserves and Crafters all pick from this database.

Deleting items

Open an item and click Delete. Loot already logged keeps the item's name, rarity and value. The item is also taken out of anyone's Fleet hangar, soft reserves and Crafters list, so think twice before deleting something people use there.

Tips and tricks

  • Fill in values for the items people trade or split. Every haul then shows what it's worth, and the website Items block can work as a guild price list.
  • Keep stat names consistent (always Size, never size in one place and Ship size in another). Exports group them into one column, and Fleet uses Manufacturer and Size stats for its totals.
  • Do bulk edits in a spreadsheet: Export CSV, change the rarity or value columns, then Import CSV. Matching names are updated in place.
  • Set claim rules before your first big raid so nobody's surprised when an epic shows a lock.
  • Give your most-looked-up items a picture. It shows on the website block and in Discord's /item answer.
