Events and rosters
Schedule raids and ops, invite members or whole rosters, collect RSVPs, and show public events on your website and Discord.
Events is your guild's calendar: raids, ops, meetings and anniversary parties. Roster lets you sort members into groups, like teams or squads, so you can invite a whole group to an event at once. This article covers both.
Who can do what
| Action | Who |
|---|---|
| See the calendar and rosters | Every member |
| Create, edit and delete events | Owner and admins |
| Invite members or rosters to an event | Owner and admins |
| RSVP | Members, for themselves |
| Create rosters and add or remove members | Owner and admins |
Events can also be created from Discord with /events create, by people whose Discord roles allow it. See Discord commands.
Create an event
- Open Events. You see a month calendar.
- Click Create Event, or click a day on the calendar to start an event on that day.
- Optionally pick one under Start from a template (see below).
- Fill in the details:
- Title: the event's name.
- Description: what's happening and what to bring.
- Location: a Discord channel, an in-game place, a server, whatever helps people find you.
- Times in: the time zone you're typing in: your own, the guild's, or UTC. It starts on the zone the calendar is showing.
- Start date, Start time, End date and End time. The end must be after the start. Under them, the form shows when the event starts in your other zones, so you can double-check.
- Turn Show on guild website on or off (see below).
- Click Create Event.
To change an event, click it on the calendar, then Edit. Delete is in the edit window.
Time zones
Every guild has a time zone, which the owner sets in Settings under General. Event times in the dashboard show in it unless a member picks their own.
- Your own time zone. Open Account & password from the menu under your name and choose Your time zone. It applies in every guild you're in. Leave it on Use the guild's to follow the guild.
- Switch what the calendar shows. The picker at the top of the Events page switches between your time, guild time and UTC. Your choice is remembered on this device.
- Schedule in any of them. Times in on the event form lets you type the time in your zone, the guild's or UTC. Switching it keeps the same moment and rewrites the fields.
Discord and your website show each viewer the time in their own time zone.
Private and public events
The Show on guild website switch sets the event's visibility:
- Off (private): only your guild members see it, in the dashboard. Use this for officer meetings, progression raids and anything internal.
- On (public): also listed in the Events block on your website, and posted to your Discord announcements channel if you've turned that on.
On the calendar, the chip on each event shows whether it's public or private.
Templates from event packs
If you run the same kinds of events every week, templates save typing. Start from a template fills in the title, description, location, visibility and length. Your chosen start time stays as it is. The list includes your game's own templates plus those from event packs you've installed from the marketplace. The same templates are offered by /events create in Discord.
Invite members and rosters
Inviting tells people the event is meant for them. They appear in the attendee list straight away, so you can see who hasn't answered yet.
- Click the event on the calendar.
- Under Attendees, click Invite.
- Choose the Users tab to pick people one by one, or Rosters to invite every member of a roster at once.
- Search and click to invite.
Everyone invited appears in the attendee list as Invited until they answer.
RSVPs
When you open an event, you see Your RSVP with three buttons: Going, Maybe and Declined. You don't need an invite to answer. Click another button any time to change your answer. Once you answer, you're added to the attendee list.
Members who answer Going to an event that then takes place earn renown for it (see renown and seasons), and it counts as an op attended on their profile.
Public events posted to Discord have Going, Maybe and Can't go buttons. Anyone allowed to take part from Discord can answer there, invited or not, and the post's count of going and maybe updates live. Guests can't RSVP.
Public events on your website and Discord
Public events show up in two places:
- Your website. Add the Events block to a page (see page blocks). It lists upcoming public events for the next six months, with the date, time and location, shown in each visitor's own timezone.
- Discord. If your server is connected and New public events is ticked in Discord setup, each new public event is posted with RSVP buttons. Editing the event updates the post. Deleting it, or making it private, marks the Discord post as removed.
Rosters
Rosters organize members into groups for events, assignments and scheduling. A member can be in as many rosters as you like.
- Open Roster and click New Roster.
- Give it a Name (up to 100 characters), like "Main raid team" or "Weekend crew", and an optional Description.
- Click Save, then open the roster and use Add Member to add people.
Open a roster any time to see its members, edit it or delete it. In games with characters, a roster also shows its Team make-up: how many tanks, healers and damage dealers it has, based on each member's main (see profiles and characters).
Tips and tricks
- Set the guild's time zone to the one your raid times are announced in. Then "raid at 8pm" means the same thing on the calendar, in the event form and in
/events create. - Make a roster per raid team or squad, then invite the roster. It's one click instead of twenty.
- Use the Location field for the voice channel or meeting spot. It shows on Discord and on your website.
- Make your recruitment nights and open events public. They fill your website's Events block and show visitors an active guild.
- Check the Team make-up on a roster before raid night to spot a missing healer early.
- Press G then E anywhere in the dashboard to jump to Events, or G then R for rosters.
