Invite and manage members

Send invite links, add accounts yourself, and change roles, ranks and status from the members list. Plus how Discord members work and how plan member limits count.

Getting people into your guild usually means sending each of them an invite link. This article covers invite links, adding an account yourself, managing people once they've joined, and how members who only use Discord fit in.

Everything here happens on the Members page (in the sidebar under Admin). Only the owner and admins can see it.

  1. Open Members and click Invite.
  2. Pick the Role they'll join with: Admin, Moderator, Member or Guest. Not sure? Choose Member. See Roles and ranks.
  3. Click Create Invite Link.
  4. Click Copy and send the link to that person yourself, in a Discord DM, in-game mail or wherever you talk.
  5. Click Done.

Each invite link:

  • Works once. After someone joins with it, it's used up. Make one link per person.
  • Expires after 7 days. The date is shown when you create it. If it runs out, just make a new one.
  • Carries the role you picked. Whoever opens it first joins with that role, so don't post an admin invite in a public channel.

What the person sees

When they open the link, they see Join and your guild's name, plus the role they've been invited as. They can:

  • Sign up with Discord, the quickest option. It also links their Discord account for the Spawnix bot.
  • Create an account with a username, email and password. They'll need to confirm their email before they can sign in.
  • Choose Already have an account? Sign in to join if they're already on Spawnix. If they're signed in already, they just click Join and your guild's name. One account works for all their guilds.

New members start at your lowest rank. Once they're in, set their rank from the members list.

Add an account yourself

If someone can't manage the invite flow, you can create their account for them.

  1. Click Add User.
  2. Enter a Username, Email and Password (at least 8 characters).
  3. Pick their Role and Status, then click Add User.
  4. Send them the password privately and ask them to change it from Account & password after signing in.

They can't sign in until they confirm their email address. After you click Add User, the dialog tells you whether we emailed them a confirmation link. If we didn't, ask them to sign in with that email and password, click Send a new confirmation link, and open the link we email them.

Manage your members

The members list shows everyone in your guild with their email, role, rank, status and the date they joined. Use the search box and the role and status filters to find people quickly.

Change someone's rank

Use the rank dropdown in their row. The change saves straight away. Only the owner can give someone the top rank or change the owner's rank.

Change role, status and details

Click the ... button at the end of a row:

  • Edit opens their username, email, role and status.
  • Change Role switches them between Admin, Moderator, Member and Guest in one click.
  • Suspend signs them out of your guild straight away and stops them signing in. Activate lets them back in.
  • Delete removes them from your guild.

You can't change the email of someone who's also in other guilds. They sign in with one account everywhere, so only they can change it.

The owner can't be removed.

Discord members

If your Discord server is connected and your Discord roles are allowed to use the bot, people can vote, RSVP, claim loot or create things from Discord without ever making a Spawnix account. The first time they do, they appear in your members list as a Discord member.

Discord members:

  • Can't sign in to Spawnix, so you can't edit their role or email.
  • Don't count toward your plan's member limit.
  • Merge automatically. When that person signs in to Spawnix with Discord, their Discord member entry is merged into their real account, so their votes and RSVPs come with them.

You can still suspend or delete a Discord member. See Connect Discord for how Discord role permissions work.

Plan member limits

Each plan has room for a set number of members:

Plan Members
Recruit (free) 5
Commander 200
Admiral Unlimited

The count includes everyone who can sign in: you, admins, moderators, members and guests, including suspended members. Discord members are free.

When your guild is full, you can't create new invite links or add users, and people can't join with an existing link. Nobody already in the guild loses anything. Upgrade in Billing or make room by removing someone.

Tips and tricks

  • Send each person their own invite link in a private message. Because each link works once, a link shared in a group chat lets in only the first person who clicks it.
  • Ask new members to join with Sign up with Discord. Their Discord account is linked from the start, and anything they did through the bot before joining merges in.
  • Suspended members still count toward your plan's limit. If you're on Recruit and short on room, remove inactive people rather than suspending them.
  • Use the Guest role for trial members. Switch them to Member with Change Role when they pass, then promote their rank.
  • Invite links are for one person, but recruitment scales: open applications with the Application form on your website and accept people with one click. See Recruitment.
